Little Grubs Kindergarten is a nature-based early years setting located at Oakly Park Estate, Bromfield, Ludlow. We are the data controller for the personal information we collect and hold.

What Information We Collect and Why
Enquiries and mailing list When you submit an enquiry through our website, we collect your name, email address, and details about your child. This is managed through Brevo and allows us to respond to your enquiry and keep you informed about spaces and news at Little Grubs. You can unsubscribe at any time.
Show-around bookings When you book a show-around visit, we collect your name, email address, and contact details through Calendly. This information is used solely to manage your booking and send you confirmation and reminder emails.
Stay and Play bookings Stay and Play session bookings are managed through Book That In. We collect your name, contact details, and your child's details in order to process your booking.
Enrolment When you complete our enrolment form, we collect personal information about you and your child, including details relevant to your child's care, health, and development. This is managed through our Netlify enrolment form and subsequently transferred to Interactive Nursery Manager, our nursery management system.
Enrolled children and families Once your child is attending Little Grubs, we hold records relating to your child's development, welfare, attendance, and care. This information is stored securely in Interactive Nursery Manager and Google Drive. We also use Funding Loop to process early years funding entitlements and Synergy, the Shropshire Local Authority platform, for funding claims.
Website Like most websites, our site (hosted on Squarespace) uses cookies to help it function and to understand how visitors use the site. You can manage cookie preferences through your browser settings.

How Long We Keep Your Information
We retain records in line with the Early Years Alliance guidance on data retention for early years settings. In summary:
Enquiry and mailing list data is held until you unsubscribe or request deletion
Booking data is held for a reasonable period after your visit or session
Records for enrolled children are retained for the periods required by law and statutory guidance, which vary depending on the nature of the record

Under UK GDPR you have the right to:
Access the personal data we hold about you
Request that we correct inaccurate data
Request that we delete your data (where we are not legally required to retain it)
Object to or restrict how we process your data
Withdraw consent at any time where processing is based on consent
